STC assignment form for heat pumps: template view

Short answer

A heat pump assignment form template should capture owner, address, unit model and serial, installation type, the transfer of STC rights and a signed date. Keep one on file for every job in case of audit.

Template sections

1. Owner Name, contact details, ABN if relevant. Provide a field for the signatory’s capacity if the owner is a company.

2. Site Full installation address with unit and lot numbers, as in the registry.

3. Unit Brand, model, serial number, tank size, and a line to confirm the model is on the registered list on the install date.

4. Installation type Tick one: new, replacement of electric, replacement of gas, or additional. Add a line for the replaced system and a note that its removal was photographed.

5. Assignment A single clear sentence stating that the owner assigns the right to create STCs for this installation to the installer or their agent.

6. Consideration The discount on the invoice, so the owner can see what they received.

7. Signature block Owner’s signature, printed name, date. Installer’s signature and accreditation details.

Filing and audit

Store the signed form with the job photos and the invoice, labelled by address and date. The regulator can ask for the paperwork well after the fact. Our guide to how STC audits work explains what they look for.

From the desk: make “installation type” a tick box rather than free text. It is the field most often left ambiguous, and it changes the claim.

Training the crew

The best template fails if the crew skips it. Run through the form with new installers, explain why each field matters, and show them a rejected claim as an example. Ten minutes of explanation prevents a lot of rework, and it is cheaper than chasing owners for signatures after the fact.
